Most business documents are organised around how the writer thinks, not how the reader decides. Readers skim, jump and look for the answer. This lesson reorients every document around the person reading it.
Know what the reader needs to do
A document exists to help someone decide, approve, understand or act. Write that purpose on the brief before starting. Every section either serves it or gets cut.
Put the conclusion first
Lead with the recommendation, the answer or the ask. Supporting detail follows for readers who want it. Making people read to the end to find the point is the most common document failure.
Assume skimming
Headings, a summary box and bold key phrases let a skimmer get the message in a minute. The template’s structure is built for this; use its heading levels rather than long unbroken paragraphs.
Action Step
Write the reader’s decision at the top of the document brief page for your next document. Move the conclusion to the first paragraph.
